Summary of position:

The Program Specialist is responsible for managing and maintaining detailed program information for global use across the organization for an assigned portfolio of programs. The PM is also responsible for maintaining relationships with assigned host institutions, managing the student admissions and relevant pre-departure issues for those universities, and also providing on-site support and services to participating students.

Job Responsibilities:

  • Serve as the ultimate authority on program information, management, and execution for an assigned portfolio of university programs; lead the program super user team to ensure staff worldwide receive relevant program updates.
  • Maintain accurate information about assigned programs including admission requirement, host university contacts, departmental and registration restrictions, housing and insurance etc.
  • Identify appropriate housing for students, working with the Executive Director to secure appropriate contracts for large groups of students
  • Work closely with the Manager of Financial Planning & Operations, New Business Initiatives to ensure accurate pricing information is available.
  • Coordinate and execute visits to hosting institutions each semester, arranging all travel, meetings with hosting institution personnel and manage student activities.

Experience & Qualifications/Skills:

  • 2+ years' experience in an administrative role
  • Strong computer skills including but not limited to webpage content management, Microsoft Office, and database skills.
  • Excellent written and verbal communication skills
  • Experience working with multiple cultures
  • Strong attention to detail with the capacity to maintain accurate records
  • Strong organizational, problem solving, initiative and interpersonal skills
  • Ability to exercise sound judgment when handling a variety of issues
  • Ability to be flexible and adaptable in a changing environment
  • Maintains a positive can-do attitude even during stressful situations
  • Ability to work both independently and as a team player
  • Experience living and / or working or studying abroad desirable
  • 25% travel required of this position
  • Working proficiency in Chinese or Japanese a plus

Education Licenses and/or Certifications etc.:

  • Bachelor's degree or equivalent work experience
