Summary of position

The Fundraising/Development Database and Research Manager works under the direction of the Executive Director of Advancement to help build and support the fundraising capabilities of the department by using specialized software (Raiser's Edge 7.96, and NXT) to store, organize and retrieve data. The position is also responsible for conducting prospect research and providing analysis and reports related to advancement services

Essential job responsibilities & duties

Database Administration and Reporting

The Fundraising/Development Database and Research Managerwill have extensive knowledge and expertise of the Raiser's Edge 7.96 database platform and capabilities. The position will assume overall responsibility for making sure that the database best serves the advancement needs of IES Abroad.

Specific responsibilities include:

  • Keeping database running, streamlined and updated at all times
  • Formatting and mapping database for most efficient use
  • Working with Executive Director, implement specific funds, appeals and campaign strategies
  • Preparing queries, reports, and merge files for mailings, email, donor annual reports and events
  • Maintaining accurate and complete information on all constituents
  • Instructing gift processing staff on best practices for entering gift information and generating acknowledgment letters.
  • Importing and exporting multiple record files.
  • Prepare lists and formatted merge documents for variety of functions including outreach calls, list reviews, mail merges and additional functions as necessary
  • Preparing ongoing revenue and analysis reports for executive management, board, finance team, advancement team
  • General understanding of routine maintenance, recovery, and handling failover of a Blackbaud hosted site database
  • Serve as primary contact with Blackbaud and related vendors regarding database management, training, and services.
  • Supervise and implement data entry projects as they are identified
  • Prospect Research and Data Mining
  • Properly map, import and export data from a variety of external systems such as excel, office and other databases

Research

The Fundraising/Development Database and Research Manager will also serve as IES Abroad Advancement's research and data mining expert.

Specific responsibilities include:

  • Maintain internal systems for tracking notes, proposals and affinity groups
  • Working with Advancement team, build out gift tables for initiative specific fundraising efforts
  • Prepare donor profiles, briefings, and lists for Advancement Team, Executive Management, Boards and Committees when necessary

General Advancement Department Responsibilities

As a highly valued member of the Advancement team, the Fundraising/Development Database and Research Manager will also participate in a variety of tasks and activities beyond the duties described above. Such tasks and responsibilities will include:

  • Participating fully in all activities of Advancement team including staff meetings, special events, and IES Abroad activities as they arise
  • Regular and predictable attendance is an essential function of this position
  • Perform other related duties as required and assigned.

 

Experience & Qualifications/Skills

  • Minimum 3+ years professional experience, with at least 2 years working in analytical, research, or information specialist role utilizing Raiser's Edge.
  • Mastery of Raiser's Edge 7.9, Windows, Word, Excel, and PowerPoint required
  • Computer-literate, with excellent analysis and reporting skills and significant experience in database management
  • Excellent attention to detail and accuracy
  • Performs tasks under minimal supervision
  • Meets commitments and deadlines on a consistent and timely basis with infrequent unplanned absences
  • Demonstrates good judgment and discretion
  • Excellent written and oral communication skills
  • Exhibits a professional demeanor at all times
  • Ability to interface and cooperate with a variety of people
  • Ensures strong working relationships with variety of stakeholders/clients and customers
  • Strong organizational skills, particularly in coordinating an array of assignments and meeting deadlines

Education Licenses and/or Certifications

  • Bachelor's degree required, preferably in computer science or equivalent work experience

Physical Demands 

  • Ability to remain in a seated position for the majority of the day (between 70% -100% of work time) while in the office and/or travelling
  • Ability to work for extended and continuous periods while in the office and travelling operating a computer, phone, and other office equipment, i.e., a calculator, copier, and computer printer (between 70% -100% of work time)
  • Need to occasionally move about office to access file cabinets from 10% to 15% of work time
  • Ability to lift or move supplies, equipment, boxes, documents, and materials weighing up to 40lbs from 10% to 15% of work time in office

Working Conditions/Environment

  • Must be able to work in Chicago office on a daily basis during office schedule
  • Due to the proximity of the open plan environment, this workspace may experience varying noise levels
  • The workspace is well lit but may not have direct natural light
  • May be required to work some evening and weekends as determined by the needs of the department

Fiscal responsibilities

  • Responsible for following IES Abroad policies regarding any purchases and/or travel, if required, made via company credit card as well as processing expense reports in a timely and accurate manner
  • Follow procedures set by IES Abroad policy with regard to business expenditures
