Summary of position:

The Finance Department is responsible for company-wide financial reporting, budgeting, cash flows, safeguarding of company assets, and internal controls. The Accounting Assistant will assist and support the Finance Department by providing accurate and timely service of data entry, record keeping, effective communication with staff and third parties, and by performing other duties as assigned.


Essential job responsibilities & duties:

  • Accounts Payable
    1. Utilizes an electronic document management system for scanning, storing, and managing invoices.
    2. Evaluates the reasonableness of the G/L coding. Especially, evaluate the proper classification between fiscal years and make adjustments for the proper proration between expenses and prepaid costs.
    3. Reconciles keyed journal entries with original documents.
    4. Evaluates the correct fiscal period of journal entries.
    5. Validates the supervisor's approval on the invoice.
    6. Review the terms and due dates on the invoices and prioritizes them for timely payment.
    7. Monitors the calendar of recurring payables and ensures their timely and routine payment.
    8. Process payables (Checks, EFTs, Wire Transfers) on a weekly basis.
    9. Assist with internal controls.
  • Responsible for daily bank deposit
  • Responsible for company based credit card statement input and follow-up.
  • Process employee expense reports and follow up with delinquent staff.
  • Prepare the timely filing of the 1099 with individuals and the government.
  • Prepare the billing for miscellaneous charges, as needed.
  • Handle billing inquiries from schools and students, as needed.
  • Prepare journal entries for reclassification of expenses.
  • Communicate with staff via email, phone, or face-to-face contact to disseminate information or gather additional details.
  • Assist with the daily reconciliation of the Chicago bank account, as needed.
  • Serve as a backup to the Accounting Assistant Position during absences.
  • Special projects as assigned.
  • Regular and predictable attendance is an essential function of this position.
  • Any other task or duty as assigned or required.

Experience & Qualifications/Skills:

  • Excellent detail and organizational skills
  • Proficient and accurate data entry skills
  • Ability to learn quickly
  • Strong written and verbal communication skills
  • Strong computer aptitude skills (Internet, Microsoft Word, Excel, general data entry)
  • Ability to work both independently as well as part of a team       
  • Excellent number pad (10-key) proficiency
  • Excellent and accurate typing skills
  • Two to four years accounting and data entry experience

Education Licenses and/or Certifications etc.:

  • High School Diploma required, College degree preferred
  • Must be legally eligible to work in the United States

Physical demands:

  • Ability to remain in a seated position for the majority of the day (between 70% -100% of work time) in a workstation
  • Ability to work for extended and continuous periods operating a computer, phone and other office equipment i.e., a calculator, copier, and computer printer (between 70% -100% of work time)
  • Need to occasionally move about office to access file cabinets from 10% to 15% of work time
  • Ability to lift or move supplies, equipment, boxes, documents and materials weighing up to 40lbs from 10% to 15% of work time in office
  • Must be able to communicate via phone, email and in-person with SAF employees, students and  parents for the majority of the day (between 70% -100% of work time)

Working conditions/Environment:

  • Due to the time difference between Indianapolis, the Country Offices and host universities, there may be a need to work outside of core hours. Early-morning or evening hours may be necessary on occasion.
  • This position may also work occasional evenings and weekends based on seasonal business needs/position requirements
  • Due to the open plan environment, this workspace may experience varying noise levels
  • The workspace is well lit with some natural light
  • Must be able to work in the Indianapolis office on a daily basis

Fiscal responsibilities:

  • Responsible for following SAF policies regarding any purchases and/or travel, if required, made via company credit card as well as processing expense reports in a timely and accurate manner.
