Summary of position:

IES Abroad's Ambassador Program engages recent alumni as volunteers to promote study abroad on their home campuses. The Ambassador Program Coordinator is responsible for three primary functions: to manage and enlist each term's cohort of volunteer Ambassadors; to develop and implement creative initiatives that engage Ambassadors in promoting IES Abroad; and to grow engagement levels and awareness of Ambassadors on campuses. In addition, this position will also support the Recruiting & Advising Department's three primary functions: to recruit students to apply and attend IES Abroad programs; to provide top quality predeparture advising, preparation, and service for all IES Abroad students; and to provide high quality service and manage relationships with U.S. colleges and universities in the IES Abroad consortium.

Essential job responsibilities & duties:

  • Manage nomination, onboarding, and training of all Ambassador Program participants, ensuring a baseline of engagement across participants
  • Serve as a liaison to staff members in Recruiting & Advising, Student Affairs, Academics, Marketing, Advancement, and other departments in accessing and utilizing Ambassadors
  • Organize, promote, and attend special events for Ambassadors and prospective students
  • Coordinate outreach strategy and visit locations with Student Outreach Coordinator and Diversity Relations Managers
  • Research and increase opportunities for the Ambassadors' exposure in their communities and online through social media
  • Collaborate with IES Abroad Center staff to develop ongoing Ambassador info sessions on-site
  • Manage the Ambassador of the Year selection committee and coordinate the attendance of winners at the IES Abroad Annual Conference
  • Manage collection of surveys and associated data entry for the Ambassador Participation Point System and associated incentive program
  • Work with Marketing staff to maintain and leverage Ambassador information on public website
  • Serve as part of a rotating group of staff handling after-hours calls
  • Maintain excellent records of all communications, utilizing database and web technology in all daily functions
  • Serve as a member of a program advising team, providing call and email coverage for team members when needed

Experience & Qualifications/Skills:

  • Two + years' experience in the field of study abroad, volunteer management, or a comparable area (preferred)
  • Strong interpersonal communication and advising abilities with exceptional customer service focus
  • Excellent writing and verbal communication skills
  • Ability to manage and maintain high call volume
  • Talent for organizing and prioritizing multiple tasks

  • Strong leadership aptitude and ability to work with minimal supervision

Education, Licenses and/or Certifications etc:

  • Bachelor's degree
  • Candidates must have a valid driver's license and be willing and able to drive a car
  • Must be legally eligible to work in the United States

Physical demands:

  • Ability to remain in a seated position for the majority of the day (between 70% -100% of work time) in a workstation
  • Ability to work for extended and continuous periods at a workstation operating a computer, phone and other office equipment i.e., a calculator, copier, and computer printer (between 70% -100% of work time)
  • Must be able to communicate via phone, email and in-person with IES Abroad US and Global employees, students and parents for the majority of the day (between 70% -100% of work time)
  • Need to move about inside the office to access file cabinets from 25% of work time
  • Ability to lift or move supplies, equipment, boxes, documents and materials weighing up to 40lbs from 15% to 20% of work time in office or while traveling
  • This position will travel by airplane or car to campuses within the U.S. approximately 30%
  • Candidates must have a valid driver's license and be willing and able to drive a car

Working conditions/Environment:

  • This position may be required to work beyond office hours of 8:30am to 4:30pm, including nights and weekends, as defined by the needs of the department and/or organization
  • Due to the open plan environment, this workspace may experience varying noise levels.
  • The workspace is well lit but with no direct natural light
  • Must be able to work in office on a daily basis

Fiscal responsibilities:

Responsible for following IES Abroad policies regarding any purchases and/or travel, if required, made via company credit card as well as processing expense reports in a timely and accurate manner.
