Status: Full-time/exempt

Schedule: 37.5 hrs/week, M-F, 8:30-5:00 with 1 hour lunch. This role may require occasional evening and weekend work based on seasonal business needs/position requirements. Note: This is an exempt position, and due to the time difference between Indianapolis and the Country Offices, there may be a need to work outside of core hours. Early-morning or evening hours may be necessary on occasion.

Summary of position

Budget and Pricing Analyst has a primary focus of managing the intersection of student programming and program billing including but not limited to developing Study Abroad Foundation (SAF) program fees, tracking host university discounts and agency and vendor expense payments, review and approve host university invoices, and performing analysis on student enrollments and enrollment trends. The Budget and Pricing Analyst is also responsible for developing the SAF budget, tracking variance from the budget, and updating financial forecasts throughout the year, in line with established budgeting procedures. This position will also take on special projects of operational and strategic importance as defined by the Executive Director and/or other organizational leaders. While the position reports to the Executive Director, the Budget and Pricing Analyst will also often work closely under the direction of leaders at IES Abroad, such as the Budget Analyst, the VP for Strategic Initiatives, and the EVP for Marketing.

Essential job responsibilities & duties

Establishing Program Fees

  • Establish SAF program fees based upon the directed pricing strategy and timetable.
      • Prepare draft of program fees for review by the executive management team. Identify and incorporate relevant updates based on program developments and changes. Reach out to university contacts to gather information about cost trends and projections from host universities.
      • Incorporate strategic pricing updates based on direction from the executive management team.
      • Coordinate the development and publication of program fee booklets with the Communications Manager.
      • In coordination with Accounting Manager, execute fee setting and invoicing, adhering to established deadlines.
      • Maintain good communication with Program Coordinator staff for smooth invoicing operation and coordination. Establish policies and procedures with staff to ensure proper student and fee information is collected to enable timely and accurate student billing. 
  • Maintain detailed, up-to-date, and accurate records necessary for program fee development, including relevant agency overhead records, university discount rates, and established currency exchange rates.
  • Build and maintain working relationships with host university colleagues in third party billing offices, language programs and housing offices.

Financial Responsibilities

  • Based on understanding of program fees, review all incoming host university invoices to verify accuracy, query errors and approve for payment.
  • Develop and maintain SAF budget, which requires working across multiple currencies. Update throughout the year based on enrollment and expense trends, adhering to established guidelines and budget process requirements.
  • Monitor enrollment and financial trends to update projections.
  • Review of SAF monthly expenses.
  • Develop revenue projections based on student enrollment trends. Forecast revenue based on program enrollment projections.
  • Assist with other budgeting duties and analytic requests as assigned.
  • Approve wire transfers, domestic and international, as needed.

Other Duties

  • Serve as insurance liaison with student insurance vendors,
  • Serve as enrollment reporting expert. Maintain historic enrollment data and provide on-demand enrollment analytics as needed to support and inform financial models and business strategy.
  • Conduct financial analysis and forecasting as needed to support strategic decision-making by the management team.

Experience & Qualifications/Skills

  • 5+ years' experience in a financial or budget analysis role
  • Outstanding attention to detail with the capacity to maintain accurate records
  • Advanced Excel skills, including demonstrated experience in Excel modeling
  • Exceptional computer skills including but not limited to Microsoft Office, QuickBooks and database skills;
  • Strong analytical skills with the ability to compile data and information from multiple sources, and work well with numbers and formulas;
  • Strong technical and financial knowledge, including understanding of internal control requirements and accounting principles as well as understanding of relevant business environment;
  • Proven track record of managing and analyzing large amounts of data and organizing it for executive review
  • Excellent written and verbal communication skills, including the ability to communicate with organizational leaders about complex issues
  • Proven ability to organize and prioritize multiple projects simultaneously and to meet deadlines
  • Ability to excel in a fast-paced work environment, and adapt quickly as needs, demands, and priorities evolve
  • Outstanding math skills, and experience working across multiple currencies
  • Strong organizational, interpersonal, and communication skills, and ability to cooperate with diverse stakeholders
  • Takes responsibility for actions, results and mistakes
  • Ability to exercise sound judgment when handling a variety of issues
  • Demonstrated strength in problem solving, and proven track record in working independently and taking initiative and ownership in responsibilities.
  • Ability to handle highly sensitive information, maintaining confidentiality and discretion as appropriate
  • Ability to stay calm and assess urgency of ongoing situations, acting in a professional manner at all times.

Additional Information

Periodic trips to Chicago for meetings should be expected.

Education Licenses and/or Certifications

  • Master's degree preferred
  • Bachelor's degree and equivalent work experience required

Physical Demands/Working conditions/environment

  • Ability to remain in a seated position for the majority of the day (between 70% -100% of work time) in a workstation
  • Ability to work for extended and continuous periods operating a computer, phone and other office equipment i.e., a calculator, copier, and computer printer (between 70% -100% of work time)
  • Need to occasionally move about office to access file cabinets from 10% to 15% of work time
  • Ability to lift or move supplies, equipment, boxes, documents and materials weighing up to 40lbs from 10% to 15% of work time in office
  • Must be able to communicate via phone, email and in-person with SAF employees, students and  parents for the majority of the day (between 70% -100% of work time)
  • Due to the time difference between Indianapolis, the Country Offices and host universities, there may be a need to work outside of core hours. Early-morning or evening hours may be necessary on occasion.
  • This position may also work occasional evenings and weekends based on seasonal business needs/position requirements
  • Due to the open plan environment, this workspace may experience varying noise levels
  • The workspace is well lit with some natural light
  • Must be able to work in the Indianapolis office on a daily basis

Fiscal responsibilities

Responsible for following SAF policies regarding any purchases and/or travel, if required, made via company credit card as well as processing expense reports in a timely and accurate manner.
