Job title: Enrollment Management Specialist
Status: Full-time, exempt
Schedule: M-F, 8.30a.m. 4.30p.m, 37.5 hours per week with a 30 minute lunch break, including occasional evening work and/or seasonal travel to regional consulates/study abroad fairs as defined by the needs of the department and/or organization/position requirements.

Summary of position:

The Enrollment Management Department serves all students who apply and/or are admitted to IES Abroad programs. Each student demands unique services and requires a thorough review of his/her application and a timely admissions decision.  Serving students includes the collecting, organizing, and clarifying of data and information throughout the pre-departure process so that it is clear, informative, and adds value to the study abroad experience.

Essential job responsibilities & duties:

  • Serve as a contact in the Enrollment Management department providing exceptional service to students, university coordinators, other internal departments, and IES Abroad Centers;
  • Act as admissions officer for assigned programs by maintaining admissions requirements and reviewing applications within the department's specifications for timeline and quality;
  • Maintain student data in database and client relations management system;
  • Collaborate with consulates and embassies to provide accurate visa application instructions to admitted students and IES Abroad constituents;
  • Distribute visa documentation to students, and review and submit student visa applications to consular officials;
  • Create and manage online pre-departure forms and visa-related content;
  • Review online pre-departure forms and approve them for Center access;
  • Communicate regularly with all constituents regarding individual students, program changes, and other updates;
  • In consultation with recruiting, academic, and marketing departments, provide input for effective, easy to read, and streamlined pre-departure content and communications to admitted students;
  • Serve the organization's need for reports and analysis of enrollment data;
  • Take on special projects / other duties and tasks as assigned;
  • Maintenance of orderly and confidential filing systems and record keeping is an essential function of this position;
  • Regular and predictable attendance is an essential function of this position;
  • Any other task or duty as assigned or required.

Experience & Qualifications/Skills:

• 2 year's data entry or administrative experience
• Database literacy with extensive computer knowledge of Microsoft Office and Excel
• Ability to organize and prioritize multiple projects simultaneously and to meet deadlines
• Strong written and verbal communications skills
• Strong interpersonal communication skills and customer focus
• Strong attention to detail with the capacity to maintain accurate records
• Ability to cooperate with all stakeholders
• Takes responsibility for actions, results and mistakes
• Ability to exercise sound judgment when handling a variety of issues

Education, Licenses and/or Certifications etc:

• Associates degree or equivalent work experience

Physical demands:

  • Ability to remain in a seated position for the majority of the day (between 70% -100% of work time) in a workstation
  • Ability to work for extended and continuous periods at a workstation operating a computer, phone and other office equipment i.e., a calculator, copier, and computer printer (between 70% -100% of work time)
  • Need to move about inside the office to access file cabinets from 25% of work time
  • Ability to lift or move supplies, equipment, boxes, documents and materials weighing up to 40lbs from 15% to 20% of work time in office
  • Must be able to communicate via phone, email and in-person with IES Abroad US and Global employees, students and parents for the majority of the day (between 70% -100% of work time)
  • This position may be asked to travel by airplane or car to campuses within the U.S. approximately 2% seasonally

Working conditions/Environment:

  • This position may be required to work beyond office hours as defined by the needs of the department and/or organization.
  • Due to the open plan environment, this workspace may experience varying noise levels. The workspace is well lit but with no direct natural light.
  • Must be able to work in office on a daily basis.

Fiscal responsibilities:

  • This position needs to work with the Finance department and Doc-link system to request money orders and process those in a timely manner.
  • This position must follow all Finance procedures set by IES Abroad policy
