Summary of position:

Customized & Faculty-Led Programs team and IES Abroad Center staff, the Temporary Customized Program Coordinator collaborates, coordinates and communicates with various stakeholders on vital program administration including, but not limited to: student communication, pre-departure maintenance, and post-program administration.


Essential job responsibilities & duties:

  • Communicate and collaborate with the Associate Director and IES Abroad Center staff to coordinate program details, such as the dissemination of student information, housing, etc.
  • Develop process expertise and general IES Abroad Center knowledge to communicate effectively with Customized & Faculty-Led Programs students.
  • Proactively communicate with students from a portfolio of programs.
  • Maintain and update systems with current information and troubleshoot technical student issues.
  • Upload student roster and process online forms.
  • Work alongside the Associate Director to help build training materials and continuously enhance student support operations.
  • Maintain and assign program forms as well as adjust document statues appropriately for select programs.
  • Track and process pre-departure and post-program tasks and update program-related details via CRM software.
  • Communicate with Customize Program Managers/ Associate Director to ensure students are registered and forms deadlines are met for each school's program.
  • Process medical reports and note sensitive student information for Student Affairs follow up.
  • Support the enrollment of program participants in medical insurance, as necessary.
  • Customize and edit program/destination-specific online pre-departure guides.
  • Manage staff program evaluation process.
  • Create grade reports as needed.
  • In collaboration with Associate Director, create efficiencies in operations and data management.
  • Update internal websites as needed/directed.
  • Collaborate with Customized & Faculty-Led Programs unit and other departments in designing, testing and implementing new organization-wide software and enhancements, such as the new client portal, student database and CRM applications.
  • Regular and predictable attendance is an essential function of this job.
  • Other duties as assigned and/or required.

Experience & Qualifications/Skills:

  • 1-2 years of work related experience.
  • Dedication to high quality client services.
  • Ability to be flexible and adaptable in a changing environment.
  • Strong team player, yet able to work independently.
  • Excellent attention to detail and data entry skills, with the capacity to maintain accurate records.
  • Strong interpersonal, oral and written skills with the ability to communicate well with various constituents.
  • Maintains professionalism and a positive can-do attitude even during stressful situations.
  • Takes responsibility for actions, results and mistakes.
  • Self-starter with strong problem solving skills.
  • Ability to efficiently manage multiple projects simultaneously in fast-paced environment.
  • Strong computer skills, including but not limited to Microsoft Word, Microsoft Excel, Microsoft Publisher, Adobe Reader, and CRM software.

Education Licenses and/or Certifications etc.

Bachelor's degree or equivalent work experience
